Frequently asked questions

Answers for paying QuickBooks bills with ctrl. For a visual walkthrough, see How it works.

Getting started

What is ctrl?
ctrl helps you pay vendor bills that already live in QuickBooks Online using Stripe, then records a bill payment back in QuickBooks so your books stay current. QuickBooks remains your ledger; ctrl handles payment orchestration. See the step-by-step walkthrough for the full flow.
Do I need a password?
No. ctrl uses passwordless sign-in — enter your email and open the magic link we send you.
Does ctrl pay customer invoices?
No. ctrl pays vendor bills (accounts payable) in QuickBooks Online. It does not replace QuickBooks Bill Pay or collect customer invoice payments.

QuickBooks

Which QuickBooks products work?
QuickBooks Online connected via Intuit OAuth. QuickBooks Desktop is not supported.
Does ctrl replace QuickBooks?
No. ctrl connects to your existing QuickBooks Online company. Bills, vendors, and categories stay in QuickBooks.
Why don't I see any bills?
Bills on the Pay bills page are open QuickBooks bills with a balance greater than zero. If the list is empty, confirm you have unpaid bills in QuickBooks, the correct company is connected, and try reconnecting QuickBooks from your dashboard.
Will ctrl change my bill line items or categories?
No. ctrl records payment against the existing bill without editing line items or categories.

Payments & Stripe

Where do I connect QuickBooks and Stripe?
On your dashboard. Connect QuickBooks and your payer Stripe account from the two setup blocks at the top. You can also manage connections under Dashboard → Edit connection.
Do I need my own Stripe account?
Yes. You connect Stripe once inside ctrl to link the bank account or card you pay bills from. Stripe stores your payment details; ctrl does not store your full account number.
Is my Stripe setup the same as my vendor's?
No. Your Stripe connection funds payments. Each vendor you pay through ctrl completes a separate one-time Stripe Connect onboarding so funds can reach them.
Why isn't the Pay button showing?
Common reasons: payer Stripe is not connected, a QuickBooks clearing bank account is not saved on Pay bills, or the vendor has not finished Stripe Connect onboarding (status must be active). Set up vendors on Vendors & payees.
Where does the money go?
Funds move from your linked bank or card through Stripe Checkout to the vendor's Stripe connected account, then to their bank per Stripe payout rules. Some vendors may optionally receive USDC to a linked crypto wallet when that option is enabled.
What fees apply?
Stripe processing and Connect fees apply per Stripe's pricing. Your ctrl operator may also charge a platform fee on top of the bill amount at checkout.

Bookkeeping

What is a clearing account?
A QuickBooks bank account ctrl uses when marking a bill paid — for example "ctrl Payments Clearing." It separates bill payments in your books from cash that actually moved through Stripe. Select it on Pay bills before paying.
Can I use my normal checking account?
You can, but a dedicated clearing account is cleaner: your books may otherwise show bill payments from checking while cash actually moved through Stripe.
Is ctrl my system of record?
No. QuickBooks is. ctrl stores payment linkage and status only.

After you pay

What happens after I pay a bill?
Stripe confirms the payment, then ctrl writes a bill payment in QuickBooks from your clearing account. You return to the bill page with a success message and a link to view the bill in QuickBooks Online.
Payment succeeded but the bill is still open in QuickBooks?
This usually means the Stripe webhook did not finish syncing to QuickBooks. Refresh the bill page or open the bill in QuickBooks. If it persists, contact support with the bill and payment details.
How do refunds work?
Refunds are handled manually in Stripe and QuickBooks today. Contact support if you need help reversing a payment.
How do I get help?
Use the contact form above or email support@takectrl.ai.
